Office Manager and Team Assistant

Wendover Studio is seeking an office manager (part-time 16-24 hours/week) for our Rotterdam studio. The ideal candidate will enjoy working with us in a fast-paced environment to help us deliver high-end design projects.

Your Role:

You will be tasked with ensuring our team have a seamless day-to-day office experience and act as the ambassador for our office space. You will also support a broad range of ad-hoc projects as well as ongoing administrative duties. Although you’ll be part of a collaborative culture, you’ll be working autonomously in the role, prioritizing tasks, multitasking, and supporting the team in London and Rotterdam. The office will be yours to nurture, support and we want you to drive a workspace that the team looks forward to visiting.

Responsibilities:

  • Day to day office management – welcoming visitors, organising the ordering and delivery of key equipment, maintaining a high standard of organisation and cleanliness, and ensuring the smooth running of the office
  • Managing relationships with various 3rd party vendors (IT, cleaning, security, etc)
  • Providing administrative support to our team – keeping track of outstanding tasks and following up with multiple parties to ensure on-time completion
  • Travel and logistics support – helping to arrange flights, transport and accommodation for the team.
  • Diary administration- Organising and booking internal and external meetings and taking care of all the logistics across different time zones
  • Liaising with internal and external contacts
  • Filing and general administration

Requirements:

  • Experience as an Office Manager or PA in a similar environment
  • Organised, resourceful and diligent attitude
  • Demonstrable experience working across multiple projects in a fast-paced environment
  • Outstanding communication skills, both written and verbal, passionate about communicating with all levels of the organisation
  • Fluent in English
  • Experience managing office budgets and coordinating equipment orders and travel arrangements
  • Ability to prioritise, follow-up and multitask efficiently in the face of constantly changing demands
  • Reliable – must have superior follow-up and follow-through
